Worklist For All Users

In the Work List – All task an administrator has the possibility to view, re assign and in several other ways, work with all current i.e. not ended/handled work items and notifications.

Selecting the Worklist For All Users will take you to the Work List - All main portlet as below.

To User

User to which a work item or notification is assigned.

Pressing this symbol will open a graphical view of the process that the selected work item/notification is part of.

A circle around one of the process model objects will indicate where in the process the process instance is at the moment.

Due Date

If a planned end time (see Table 35) has been specified for a work item, that end time will populate the Due Date field.

Priority icon. The color of the icon tells which priority the work item/notification has.

Blue – Low priority

Orange – Medium priority

Red – High priority

Work item/notification priority settings are defined in design time.

Work Title

Title of the work item/notification. Defined in design time.

Process

Name of the process to which the work item/notification belongs.

State

Different states are defined by the process designer in design time and can be of any desired value.

Key

Presentation key. A not necessarily unique business presentation key that facilitates the understanding of a work item or notification without having to look at its details.

Defined/associated in design time.

The key field could e.g. be associated with the item number in an item master.

Title

Presentation title. A not necessarily unique business presentation title that facilitates the understanding of a work item or notification without having to look at its details.

Defined/associated in design time.

The title field could e.g. be associated with the item description in an item master.

From Role

Role associated with the work item that precedes the selected work item.

From User

User that handled the work item that precedes the selected work item.

To Role

Role associated to the work item/notification.

Created date

Date of when the work item/notification was created on the format YY-MM-DD.

Created time

Time of when the work item/notification was created on the format HH-MM-SS.

Changed date

Date of when the work item/notification was changed in any way (on the format YY-MM-DD).

A change of a work item/notification is registered when it is assigned, reassigned or moved from one work list tab to another.

Time of when the work item/notification was changed in any way (on the format HH-MM-SS).

A change of a work item/notification is registered when it is assigned, reassigned or moved from one work list tab to another.

Entering a search criterion in an input field and then pressing the search button will result in a list of hits matching the search criterion.

% can be used when specifying a search criterion. A “da%” search phrase will e.g. result in a search result where all hits starts with the letters “da”.

Cancels the operation and closes the view.

A row click on a specific record will have no effect.

The following right click options are available when right clicking on a work list item:

Work on… (will show work item details if the item is a notification)

Re-Assign…

Work Item Details…

Process Instance Details…

The Work on… right click

If choosing the Work on… right click option the administrator will be presented with the work item to be performed (does not apply for notifications).

In Figure 97 below an administrator chooses to work on the AddPurchaseInfo by right clicking the work item and selecting Work on…

The action in Figure 97 will take the administrator to the view as in Figure 98 below. Here the administrator is supposed to add Purchase Price information and press the update button to commit the new purchase price. This action will remove the work item both from the Work List – All and the work list of the assigned user(s).

A Work on… right click operation on a notification will result in showing the Work Item Details for the notification i.e. it will have the same effect as a Work Item Details… right click operation.

The Re-Assign… right click

When right clicking either a work item or a notification and choosing Re-Assign… an administrator has the possibility to reassign the item to another user acting in the same role as the user to which the item originally was sent to.

In Figure 99 below an administrator chooses to reassign the AddPurchaseInfo work item to another user.

The operation in Figure 99 will take the administrator to the view as in Figure 100.

From Figure 100 it is apparent that the currently work item assigned user is “comact”.

To assign a new user just click the desired user in the list of available users. Should the list of users be very long it is possible to search for a specific user by entering the user name in the “User” field and pressing the Search button. After the search result has been presented just click the desired user.

Work Item Details… right click

Right clicking a work item or a notification and choosing Work Item Details… will result in a view such as the one in Figure 101.

From here it is possible to study detailed information about a work item or a notification.
